Building Human Resource management capacity for local NPOs 

Background

By 2013, LIN began to survey our NPO partners on an annual basis, which allowed us to start tracking trends and identify gaps in capacity. One area where a capacity gap became apparent, both through our analysis of 2014 survey data as well as feedback from CPI 2014 participants, is human resource management

Some of the specific HR management challenges mentioned by our NPO partners in the 2014 annual survey include, but are not limited to:

  • Communication with staff and volunteers;
  • Setting appropriate expectations for staff and volunteers;
  • Building the capacity of staff and volunteers;
  • Succession planning;
  • How to draft better job descriptions for staff recruitment; and
  • Recruiting volunteers, staff and/or board members.

Objectives of CPI 2015

  • To facilitate meaningful corporate community engagement through employee volunteering;
  • To provide an opportunity for professionals to volunteer their skill sets to support social impact organizations; and
  • To build the human resource management capacity of local NPOs.

Activities

Call for participation (until 15 July)

 Matching process (21 July to 31 July)

 Participating NPO's will be asked to complete a survey designed to understand their respective needs and current challenges. Meanwhile, participating companies/volunteers will be asked to complete a different survey designed to assess their current skill sets and strengths.

NPOs and corporate/volunteer teams will be invited to a Meet & Greet event. At the event NPOs and corporate/volunteer teams, in groups of three, will each have a chance to introduce themselves formally and then spend some one-on-one time to talk with each other. By the end of the event, corporate/volunteer teams and NPOs will match themselves and sign a partnership agreement, which will help to facilitate effective communication and collaboration.

HR Capacity- Building workshops (August to September)

 The LIN Center for Community Development will work with HR experts to organize 1 to 2 workshops that will address HR challenges and needs as expressed by the participating NPOs in their CPI surveys.

Mentorship program (August to October)

 Orientation: Immediately after being matched, LIN will organize a general orientation session for both NPOs and corporate/volunteer teams.

Mentorship: Corporate/Volunteer teams will have 12 weeks to work with their respective NPO partners. LIN recommends that partners work together to undertake the following four steps (in the same order):

  • Defining the NPO's HR challenge(s).
  • Identify one or more possible actions/solutions to address the NPO's challenge(s).
  • Implement one or more action/solution within the CPI timeframe.
  • Evaluate the impact of the action(s)/solution(s) taken.

Evaluation (October)

LIN will establish an advisory panel to assist all CPI Partners throughout the program and to help evaluate the outcomes of each collaboration. Panel members may be contacted for advice on goals, KPIs, implementation progress as well as any collaboration or communication challenges faced by NPOs or corporate/volunteer teams. In addition, they will be asked to evaluate the outcomes of each collaboration and to provide feedback to each partner.

Closing Ceremony (October) 

  LIN will organize a ceremony in early November to recognize the accomplishments of all teams and to share the experiences and results of the partnerships. The three teams receiving the highest scores from the evaluation will be invited to share their experiences during the closing ceremony.

All participating NPOs and corporate/volunteer teams will receive recognition for their efforts and achievements.

Get Involved

Who should participate?

1. NPOs (10)

  • At least one staff member responsible for HR at their NPO.
  • Able to summarize current HR challenges.
  • Willing to commit 2 hours per week over the course of 12 weeks to work with Mentors.

2. Teams of company staff or individuals are encouraged to participate:

  • At least three professionals who are experienced and involved in HR.
  • Team can summarize their combined HR skill sets and strengths.
  • Willing to commit 2 hours per week over the course of 12 weeks to work with NPOs.

Sáng kiến vì Cộng đồng 2014 

Nâng cao bền vững tài chính cho các tổ chức phi lợi nhuận

Bối cảnh

Hàng trăm tổ chức phi lợi nhuận địa phương (NPO) ở TP.HCM đang hoạt động để giải quyết những thử thách thực sự và cung cấp dịch vụ hỗ trợ cho các đối tượng chịu nhiều thiệt thòi trong xã hội. Trước đây, nhiều NPO hoạt động dựa vào nguồn hỗ trợ từ ngoài nước. Tuy nhiên, sau khi Việt Nam được xếp vào nhóm quốc gia có thu nhập trung bình vào năm 2010, nhiều nhà tài trợ đã chuyển sự giúp đỡ này đến những quốc gia kém phát triển hơn. Từ đó, các tổ chức phi lợi nhuận phải tìm cách thu hút được sự hỗ trợ từ địa phương.

Để làm được điều đó, họ cần đến một kế hoạch thực tiễn cùng với những kỹ năng truyền thông và giao tiếp với nhà tài trợ. Dù các NPOs có thừa đam mê và động lực để giải quyết các vấn đề xã hội, họ lại thiếu nguồn lực tài chính và kinh nghiệm hợp tác với khối doanh nghiệp.

Encouragement Prize

  • Huynh Tan Phat Scholarship Foundation received VND 21,000,000 in appreciation for their active participation in year two of the Irish Aid Project. HTP will use the funds to reward the volunteers for their contribution and spend on upcoming activities of the foundation.

  • First Place Prize (Grant of VND 40,000,000): Awarded to ICS (with thanks to their corporate partner MASH)
  • Consolation Prize (Grant of VND 20,000,000): Awarded to CHANGE (with thanks to their volunteer team Rainbow Group)
  • Consolation Prize (Grant of VND 10,000,000): Awarded to Nhan Ai Social Work Club (with thanks to their volunteer team RIO)

Summary

Over the course of two months, the company employees and the NPO staff worked together and learned from each other. In addition to sharing experiences and mentoring NPO staff, teams were challenged to create a product and design a strategy to help the organization achieve its mission. Their work was then evaluated by a judge panel comprising of experts in Marketing, PR and Advertising, who judged the products and strategies based on a set of criteria.

The exciting challenge culminated in an Award Ceremony on 7 September, where five teams proudly introduced their products and presented their communication strategy. After deliberating together, the judges made a final decision to select the teams they thought producing the best product and strategy. Three winning NPOs were awarded with communication prizes (including website development, digital marketing, printing voucher), which in turn would help NPOs with fundraising, raising public awareness and support for their cause.

Summary

In six weeks (1 Jul – 15 August 2013), 11 teams, each comprises of one NPO and one company/team of communications professionals, invested their efforts to create a communications tool for each NPO to raise awareness about the need of vulnerable children in HCMC and how local NPOs are addressing those needs.

10 teams submitted their communications tools. More than 400 people voted for their favorite communications tools.

Online vote was accounted for 50% of the final result. Another 50% was accounted for by a panel of judges.

Activity 1: Mentorship

Meet & Greet event

CPI 2013 kickstarted on 27 June when participating teams got to know each other for the first time  during the Meet and Greet Event. After a matching process facilitated by LIN, companies and NPOs ranked their choice, which LIN then used for matching the companies and NPOs appropriately and according to each teams’ wishes as much as possible.

6 week mentorship

During a period of  6 weeks, from 1 July to 15 August, each team worked to create a communication tool that address the needs of vulnerable children and raise the public awareness about challenges they are facing.10 teams have submitted their communications tools. More than 400 people voted for their favorite communications tools.

Activity 2: Capacity building

Besides the one-on-one mentorship, CPI aims to equip the NPOs with basic knowledge about communications and beyond. As a part of the project, LIN worked with 3 companies to hold several workshops and a company visit focusing on improving communications skills for the NPO staff.

These workshops were open to non-participating NPOs who wanted to improve their skills.
